As a Receptionist, you will play an important role in creating a positive guest experience from the moment a customer makes an enquiry through to their departure.
You will welcome guests, respond to enquiries, assist with reservations and bookings, provide accurate information about accommodation, tours and available services, coordinate with other departments, and ensure that guest requests are handled promptly and professionally.
Because tourism operations often involve international visitors, the ability to communicate confidently in English and Swahili is important. Additional languages and previous experience in hotels, lodges, tour operators, travel companies, or other customer-facing environments will be an advantage.
The successful candidate should be dependable, organised, service-oriented, and comfortable working flexible hours, including weekends and public holidays when required.
Responsibilities
- Welcome and professionally receive guests, visitors, and clients.
- Manage guest check-in and check-out procedures accurately and efficiently.
- Answer telephone calls, emails, messages, and in-person enquiries.
- Provide guests with accurate information about accommodation, tours, excursions, transport, facilities, and other tourism services.
- Handle reservations, bookings, cancellations, amendments, and guest requests.
- Maintain accurate guest records and update reservation or booking systems.
- Coordinate with housekeeping, tour operations, transport, accounts, and management teams to meet guest needs.
- Respond promptly and professionally to guest complaints, questions, and special requests.
- Assist guests with directions, local information, tour arrangements, transfers, and other relevant services.
- Confirm booking details and communicate important information to guests before arrival.
- Maintain a clean, organised, and professional reception/front-desk area.
- Receive and accurately record payments or coordinate payment information in accordance with company procedures.
- Prepare or maintain daily reception reports, booking records, and other administrative documents.
- Protect guest confidentiality and handle personal information responsibly.
- Monitor arrivals, departures, special requests, and outstanding guest requirements.
- Support the team in maintaining high standards of customer service and hospitality.
- Promote appropriate company tourism services and additional guest experiences where applicable.
- Escalate operational, security, payment, or serious guest issues to the appropriate manager.
- Perform other reasonable front-office and guest-service duties assigned by management.
Requirements
- Certificate, Diploma, or relevant training in Tourism, Hospitality, Hotel Management, Travel and Tourism, Business Administration, or a related field is preferred.
- Relevant practical experience may be considered where appropriate.
- Previous experience as a Receptionist, Front Desk Agent, Guest Relations Officer, Customer Service Officer, or similar role is preferred.
- Experience in a hotel, lodge, resort, tour operator, travel company, safari company, or other tourism-related business is an advantage.
- Fresh graduates or candidates with relevant internship/field experience may be considered for entry-level opportunities.
