The Office Operations and ICT Support Intern will assist with the smooth running of office activities and provide basic technical support to staff, visitors, and organizational programs.

The role combines office operations and administrative support with ICT, digital communication, marketing, and research activities. The intern will help ensure that office resources are available and properly managed, visitors are received professionally, technology is functioning effectively, and assigned research and marketing activities are completed accurately and on time.

The position is suitable for a graduate or final-year student who wants practical exposure to ICT support, office management, marketing, research, and organizational operations.

Responsibilities

Office Operations & Administration

  • Support daily office operations and ensure the office remains organized and functional.
  • Assist with office supplies, stationery, equipment, and inventory management.
  • Monitor office needs and assist with procurement and replenishment of supplies.
  • Maintain organized physical and digital records and documentation.
  • Assist with scheduling meetings, preparing meeting spaces, and coordinating internal activities.
  • Support administrative tasks such as printing, scanning, photocopying, filing, and document preparation.
  • Assist with maintaining office policies, procedures, and operational checklists.
  • Support general coordination between staff, service providers, and external stakeholders.

Guest Reception & Front Office

  • Receive and welcome guests, visitors, partners, and service providers in a professional manner.
  • Direct visitors to the appropriate staff members or meeting areas.
  • Manage incoming calls, messages, and general inquiries where required.
  • Maintain a professional and welcoming reception environment.
  • Assist with visitor records and meeting arrangements.

ICT Support

  • Organize and analyze basic research findings.
  • Prepare summaries, briefs, presentations, and reports based on research findings.

Logistics & Event Support

  • Assist with planning and coordinating workshops, seminars, meetings, and learning events.

  • Assist with participant registration and attendance records.
  • Ensure meeting and event spaces are prepared before activities begin.
  • Support post-event activities including documentation, feedback collection, and reporting.

Requirements

  • Certificate, Diploma or currently pursuing a relevant qualification in Information Technology, Computer Science, Business Administration, Marketing, Communications, Office Administration, or a related field.
  • Basic knowledge of computer hardware, software, operating systems, and common office technology.
  • Good working knowledge of Microsoft Office or Google Workspace.
  • Basic understanding of digital marketing and social media platforms.
  • Ability to conduct online research, collect information, and prepare concise reports.
  • Good written and verbal communication skills in English and Kiswahili.
  • Strong organizational and time-management skills.
  • Professional and courteous approach to guests, colleagues, and external stakeholders.
  • Ability to work independently while also supporting a team.
  • Willingness to learn new technologies, systems, and organizational processes.
  • Good attention to detail and ability to maintain accurate records.
  • Basic graphic design skills using Canva or similar tools will be an advantage.
  • Previous internship, volunteer, administrative, customer service, ICT support, marketing, or event experience will be an advantage.
