We are seeking a motivated and organized Administration Volunteer to support the day-to-day administrative, research, educational, and operational activities of the organization.

The Administration Volunteer will provide general administrative and operational support to help the organization maintain accurate records, coordinate activities, organize information, and deliver efficient services to its users and partners.

The role may involve working with student and graduate information, educational and research materials, opportunity listings, institutional information, employer records, communications, and internal documentation.

The successful volunteer should be comfortable working with digital tools, handling information carefully, communicating professionally, and learning new systems. The role is particularly suitable for students, recent graduates, or early-career professionals interested in administration, education, research, human resources, career development, or technology-enabled services.

Responsibilities

  • Provide day-to-day administrative support to the team.
  • Organize, update, and maintain digital and physical records.
  • Assist with data entry, document preparation, filing, and information management.
  • Support the preparation of reports, presentations, spreadsheets, meeting notes, and administrative documents.
  • Assist with research activities, including collecting, organizing, and summarizing relevant information.
  • Support the preparation and organization of educational and career-development materials.
  • Assist with maintaining accurate information about opportunities, institutions, organizations, and other stakeholders.
  • Help coordinate meetings, interviews, training sessions, workshops, and other organizational activities.
  • Assist with scheduling and follow-up communication with students, graduates, institutions, employers, volunteers, and partners.
  • Respond to routine administrative inquiries and direct more complex matters to the appropriate team member.
  • Support the review and organization of submitted documents and information.
  • Assist with monitoring applications, registrations, approvals, and other administrative workflows.
  • Help identify missing, inconsistent, or outdated information and report it to the relevant team.
  • Maintain confidentiality when handling personal, educational, organizational, or application information.
  • Support basic quality-control activities to ensure information presented to users is accurate and organized.
  • Assist the team with administrative testing and documentation of issues identified on the digital platform.
  • Perform other reasonable administrative and operational duties assigned by the supervisor.

Requirements

  • Currently pursuing or recently completed a qualification in Business Administration, Education, Research, Human Resources, Information Management, Public Administration, Social Sciences, or a related field.
  • Good organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Good written and verbal communication skills in English.
  • Working knowledge of Swahili is an advantage.
  • Basic computer literacy and confidence using Microsoft Office or Google Workspace.
  • Ability to work with spreadsheets, documents, email, and online platforms.
  • Ability to organize information systematically and maintain accurate records.
  • Willingness to learn new digital systems and administrative processes.
  • Ability to work independently while also collaborating with a team.
  • Professional, reliable, responsible, and willing to take initiative.
  • Ability to maintain confidentiality and handle information responsibly.
  • Previous administrative, research, volunteer, student leadership, internship, or office experience is an advantage but not mandatory.
