The Junior Accountant will support the Finance Department in maintaining accurate and up-to-date accounting records and ensuring that financial transactions are properly documented and recorded.
The role will involve assisting with the preparation of receipts, invoices, payment records, reconciliations, financial reports, and other accounting documentation. The Junior Accountant may also support the collection and recording of student fees, supplier payments, staff-related financial transactions, and other institutional income and expenses.
The successful candidate will work under the supervision of the Accountant or Finance Manager and will be expected to follow the institute's financial policies, internal controls, and applicable accounting and regulatory requirements in Tanzania.
Responsibilities
- Record daily financial transactions accurately and in a timely manner.
- Maintain organized accounting records, invoices, receipts, vouchers, and supporting documents.
- Assist with posting transactions into accounting systems or financial spreadsheets.
- Prepare and maintain payment vouchers, receipts, invoices, and other financial documentation.
- Assist with maintaining accurate cash and bank records.
- Assist in recording and monitoring student fee payments.
- Issue receipts and maintain accurate records of payments received.
- Follow up on outstanding balances as directed by the Finance Manager or Accountant.
- Assist with preparing student fee and receivables reports.
- Respond professionally to routine finance-related queries from students, parents, and other authorized stakeholders.
- Assist in processing supplier invoices and payment requests.
- Verify supporting documents before transactions are processed.
- Maintain records of outstanding supplier balances.
- Assist with supplier statement reconciliations and payment documentation.
- Assist with regular bank reconciliations.
- Reconcile financial records and identify discrepancies.
- Investigate routine differences and report unresolved issues to the Accountant or Finance Manager.
- Assist with petty cash management and reconciliation.
- Assist in preparing periodic financial and management reports.
- Support month-end and year-end accounting activities.
- Maintain proper filing of financial documents for audit and internal control purposes.
- Ensure financial records are handled confidentially.
- Follow institutional accounting procedures and applicable financial requirements.
- Support the Finance Department with budgeting and expenditure tracking activities where required.
- Assist during internal and external audits by providing requested documentation.
- Perform other accounting and finance-related duties assigned by the supervisor.
Requirements
- Diploma or Bachelor's degree in Accounting, Finance, Commerce, or a related field.
- Basic understanding of accounting principles and financial procedures.
- Some practical experience in accounting, finance, bookkeeping, or administration is an advantage.
- Experience working in an educational institution is an advantage but not mandatory.
- Basic knowledge of accounting software and Microsoft Excel.
- Good numerical and analytical skills.
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to organize records and manage multiple tasks.
- Ability to maintain confidentiality and handle financial information responsibly.
